This document constitutes the terms and conditions (the “Terms”) governing the provision of educational services by Physics Academy London (“PAL” or “we”). By registering for and utilizing our services, you (the “User”) are agreeing to be bound by these Terms. It is imperative that you read these Terms thoroughly and retain a copy for your records. Upon agreement, kindly append your signature at the document’s conclusion.

Registration

  • The parent/guardian is responsible for registering online (when the student is below 18 years of age) on our website and the accurate information is to be provided.
  • The following details are needed for the registration: student’s name, mobile number, exam board, exam year, parent’s name and mobile number.
  • All classes will be delivered via the Physics Academy London LMS (Learning Management System) and the user account should not be shared with other users.
  • The email address used for registration should be used as the reference while communicating and making payments.
  • PAL should provide suitable tutors, discuss and agree on the schedule of classes by email, telephone or WhatsApp prior to the registration process.

 

Booking Classes

  • For Individual Classes – Physics Academy London (PAL hereafter) will communicate with the parent and student and book the classes according to the availability of the student and tutor.
  • For Group Classes – PAL will book classes and students can select a class which suits their availability.
  • Once the parent/guardian has accepted the booking of classes, the student is responsible to attend the class without any failure.

 

Delivering Classes (Provided only via LMS/PLA platform)

  • All the classes will be delivered online only via the LMS/PLA platform.
  • Some study material will be uploaded on the study space on the LMS/ PLA platform. It is the student’s responsibility to check them in a timely manner before and after each lesson.
  • The tutor reserves the right to cancel a scheduled class if the student does not appear at the scheduled lesson 15 mins after the scheduled lesson’s starting time.
  • In the event of a no show, refunds or alternative lessons will not be available.
  • If the student is up to 15 mins late but does appear, extra time will not be permitted as other learners’ time will be wasted.
  • It is not the tutor’s responsibility to remind students they have a lesson.
  • Should the tutor be unavailable for a lesson, the tutor should give a 48-hour notice to the student or parent and the lesson should be rescheduled.

 

Payments

  • Lesson/assessment fees are set at a given hourly or half hourly rate, as agreed, prior to the booking of the lesson or assessment session. PAL will inform the parent or guardian regarding any hourly rates before booking the classes.
  • Hourly fees depend on the number of students within the session.
  • The parent/guardian should subscribe to the online payment system using either debit or credit card (Card Name, 16-digit card number, expiry and the Security code are required.)
  • Payments should be made directly via the online payment system (payment facility “Stripe” using the link provided in the Invoice’s first email, or via the Portal) and the invoice will be emailed to you after each payment.
  • After each lesson the relevant payment is taken from the card at any time within 24 hours after completing the classes. There should be a sufficient balance in the account.
  • If there is any cancellation of the classes, the scheduled payments will be taken from your account. However, PAL will reschedule a class or refund the money back to your account.
  • Reminders for unpaid fees are sent automatically via email, from PAL’s automated system.
  • Unpaid fees will result in lessons being suspended automatically by the LMS (Learning Management System) until payment is received or terminated if necessary.

 

Cancellations

  • In the event of a student needing to cancel/reschedule a lesson, 48-hour prior notice is required other than any medical reason. For any cancellation by the student, PAL will reschedule the class. The rescheduling of a class will depend on the time availability of the tutor.
  • Our classes require commitment and regular attendance so if last minute cancellations or re-scheduling occurs on a regular basis (more than 3 times), the tutor may have to terminate regular lessons.
  • When situations arise beyond your control and it is not possible to provide the required notice, the teacher will make an effort to arrange an alternative lesson slot within the same week. If this is not possible, 50% of the lesson fee is payable. However, every effort will be made by the tutor to accommodate and reschedule, as long as availability allows it.
  • In the unlikely event of the tutor needing to cancel a lesson, this will be rescheduled, as soon as possible, to suit all parties with no financial loss to you.

 

Student’s Confidence and Independence

  • The login details of your user account should not be shared with other users as they are private and confidential.
  • If the student/parent wishes to terminate regular classes, a notice period of two weeks is required. Failure to provide the notice period will result in two weeks of fees being due.
  • Any students who do not complete necessary homework, tasks or any work assigned the by the tutor in accordance with their deadline regularly could be terminated by the tutor.
  • Student should prepare and attend the scheduled assessment tests and the tutor will provide the marks with feedback within a week from the test date.
  • Parents/guardians will be asked to support the learning required for a successful result and catch up with any missed work accordingly. Some independent learning is essential, including homework tasks and a regular commitment to classes.

 

General Information

  • PAL reserves the right to alter this Terms and Condition as required and the parents/guardians/students should be informed in a timely manner.
  • Acceptance of our services in the manners outlined as stated here will be taken to represent agreement to these Terms and Conditions.

 

Data Protection

  • PAL and the student or named contact will comply with their respective obligations under the Data Protection Laws.
  • The Tutors introduced by PAL shall also comply with their respective obligations under Data Protection Laws.

 

By registering for our services on our website, you (the “User”) acknowledge and agree to these Terms, binding yourself to the provisions herein. We strongly recommend that you read these Terms carefully and retain a copy for future reference. Your registration on our website serves as your acceptance of these Terms, eliminating the need for a physical signature.
